Executive Coordinator is responsible for providing administrative and operational support to senior management and facilitating communication and coordination across departments. This role requires a proactive and detail-oriented individual who can assist in project management, prepare reports, and contribute to organizational decision-making processes. The Staff Officer will act as a liaison between various stakeholders and help maintain effective workflows within the organization.

Key Responsibilities:

Administrative Support:

  • Manage calendars, schedule meetings, and coordinate appointments for senior management.
  • Prepare agendas, take minutes, and distribute documentation for meetings.
  • Handle correspondence, emails, and inquiries, ensuring timely responses and follow-ups.

Project Coordination:

  • Assist in the planning, execution, and monitoring of strategic projects and initiatives.
  • Track project timelines, milestones, and deliverables to ensure timely completion.
  • Prepare progress reports and presentations for senior management review.

Data Analysis and Reporting:

  • Collect, analyze, and summarize data to support decision-making and strategic planning.
  • Prepare reports, presentations, and briefs on operational performance and key metrics.
  • Identify trends, issues, and opportunities for improvement based on data insights.

Communication and Collaboration:

  • Serve as a point of contact for internal departments and external partners, fostering effective communication and collaboration.
  • Coordinate with stakeholders to gather information, resolve issues, and ensure alignment on objectives.
  • Facilitate cross-functional teamwork and knowledge sharing within the organization.

Policy and Procedure Compliance:

  • Ensure adherence to organizational policies, procedures, and regulatory requirements.
  • Assist in the development and implementation of departmental policies and guidelines.

Qualifications:

  • Bachelor’s degree in Business Administration, Public Administration, or a related field (preferred).
  • Proven experience in an administrative or staff support role, preferably in a similar capacity.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication skills, both written and verbal, with attention to detail.
  • Proficiency in MS Office suite (Word, Excel, PowerPoint) and office management software.
  • Analytical mindset with the ability to interpret data and generate insights.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
