We are seeking a reliable and proactive Admin Officer to join our team. The Office Administrator will be responsible for overseeing the day-to-day operations of our office, providing administrative support to employees and management, and ensuring the smooth functioning of office processes. The ideal candidate is highly organized, detail-oriented, and able to multitask effectively in a fast-paced environment.

 Responsibilities :

  • Manage front desk operations, including greeting visitors, answering phone calls, and responding to inquiries.
  • Coordinate appointments, meetings, and conferences, including room reservations and technology setup.
  • Provide administrative support to executives and staff, including drafting correspondence, preparing reports, and managing expense reports.
  • Maintain electronic and physical files, ensuring accuracy, confidentiality, and easy retrieval.
  • Monitor and replenish office supplies, equipment, and inventory as needed.
  • Assist with travel bookings, including flights, accommodations, and transportation, for employees and executives.
  • Prepare meeting agendas, take minutes, and distribute materials. Arrange for catering and equipment setup as required.
  • Coordinate with building management for facility maintenance, repairs, and security.
  • Assist with onboarding new employees, including paperwork, orientation, and workstation setup.
  • Serve as a point of contact between employees, management, clients, and external stakeholders.
  • Process invoices and expense reports accurately and in a timely manner.
  • Identify opportunities for process improvements and efficiency enhancements within the office administration function.

 Qualifications :

  • High school diploma or equivalent; bachelor’s degree preferred.
  • Proven experience in office administration or related field.
  • Excellent organizational and time management skills.
  • Strong interpersonal and communication skills.
  • Proficiency in MS Office suite and office management software.
  • Ability to multitask and prioritize tasks effectively.
  • Attention to detail and problem-solving abilities.
