The Personal Staff Officer to the Group COO will provide high-level administrative and operational support, ensuring that the COO’s day-to-day activities are managed efficiently. The PSO will act as a liaison between the COO, other departments, and external stakeholders, while ensuring confidentiality and professionalism in all tasks.

Key Responsibilities:

  • Manage the COO’s calendar by scheduling meetings, appointments, and events, ensuring no conflicts.
  • Coordinate and prioritize incoming requests, ensuring timely responses.
  • Handle all travel arrangements (local and international) for the COO, including tickets, accommodation, visas, and itineraries.
  • Prepare reports, presentations, and other documents required by the COO.
  • Organize and maintain confidential files, correspondence, and records. 
  • Serve as the primary point of contact for internal and external communication for the COO.
  • Coordinate with senior management and department heads on behalf of the COO to ensure seamless communication and follow-up on directives.
  • Attend meetings with or on behalf of the COO and record minutes, tracking action items for timely completion.
  • Manage interactions with external stakeholders, clients, and partners, maintaining professionalism at all times. 
  • Assist in managing special projects and business initiatives led by the COO.
  • Conduct research and gather information required for decision-making or presentations.
  • Ensure timely execution of tasks and projects assigned by the COO, tracking progress and reporting on any delays or challenges.
  • Support the COO in preparing for internal and external events, meetings, and conferences.
  • Provide personal assistance to the COO in managing personal tasks, errands, and appointments when required.
  • Handle confidential and sensitive matters with discretion.
  • Assist in organizing corporate events, client meetings, and workshops, ensuring the COO’s participation and preparation are well-coordinated.
  • Collaborate with relevant teams to handle logistics and hospitality arrangements for events.

Qualifications & Skills:

  • Education: Bachelor's degree in Business Administration, Management, or a related field.
  • Experience: 3-5 years of experience as an executive assistant, personal assistant, or in a similar role, preferably supporting C-suite executives. (Preference will be given to Ex Forces personnel)

 Skills:

  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multitask and prioritize.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and handle high-pressure situations.
  • Strong interpersonal skills to liaise effectively with internal and external stakeholders.
  • High level of discretion and confidentiality.
