Provide administrative support to the mechanical team, ensuring efficient and smooth operations, accurate documentation, and timely completion of mechanical projects and tasks.

Key Responsibilities:

Administrative Tasks:

  • Maintain accurate records, reports, and documentation related to mechanical projects and maintenance.
  • Manage inventory levels, track material receipts, and coordinate with suppliers.
  • Coordinate with mechanical team to prioritize tasks, allocate resources, and meet deadlines.
  • Update and maintain mechanical schedules, workflows, and procedures.
  • Handle internal and external communications related to mechanical operations.

Mechanical Support:

  • Assist mechanical engineers and technicians with project coordination and documentation.
  • Review and verify mechanical drawings, specifications, and calculations.
  • Coordinate with other departments (e.g., electrical, civil) to ensure interdisciplinary collaboration.
  • Monitor and track mechanical project progress, identifying potential delays or issues.

Procurement and Logistics:

  • Coordinate purchasing of mechanical equipment, materials, and services.
  • Manage shipping and receiving processes for mechanical components.
  • Track and resolve delivery issues.

Quality Control and Assurance:

  • Monitor mechanical processes to ensure compliance with quality standards.
  • Conduct audits and inspections to identify areas for improvement.
  • Implement corrective actions to address quality issues.

Health, Safety, and Environment (HSE):

  • Ensure compliance with HSE policies and procedures.
  • Report incidents, near misses, and hazards.
  • Participate in HSE audits and inspections.

Requirements:

  • 2+ years of experience in mechanical administration or related field.
  • High school diploma or equivalent required; degree in Mechanical Engineering, Business Administration, or related field preferred.
  • Strong organizational, communication, and problem-solving skills.
  • Proficient in MS Office, particularly Excel, and mechanical design software (e.g., AutoCAD).
  • Ability to work in a fast-paced environment and prioritize tasks effectively.

Desirable Skills:

  • Experience in mechanical engineering, design, or manufacturing industry.
  • Knowledge of mechanical codes and standards.
  • Familiarity with computer-aided design (CAD) software.
  • Certification in mechanical administration, project management, or quality control.
  • Proficiency in ERP/MRP systems.

Physical Requirements:

  • Ability to work in an office environment with occasional site visits.
  • Stand, walk, or sit for extended periods.
