Under the supervision of the National Technical Focal Person (NTFP) for Polio Eradication Initiative, the officer will perform the following tasks to support the functions of the NEOC.

Terms of Reference (TORs)

1.      Coordination and Stakeholder Engagement:

  • Develop and maintain coordination with all relevant stakeholders, including Provincial Technical Focus Persons (TFPs), partner organizations, and Gates Foundation (GF)-funded projects including RIZ Consulting, GCSS etc.
  • Interaction with partner staff: Engage with partner staff, EPI/ISD/synergy focal persons, RIZ staff, and 3rd parties concerning program-related assignments.
  • Assist in documentation: Support the documentation of all matters related to the Ministry, Prime Minister's office, and other relevant entities.

2. High-Level Meeting Support:

  • Assist in high-level meetings: Provide support for high-level meetings such as the National Task Force, National Polio Management Team (NPMT), Core Group, and morning meetings, and facilitate monthly TFP meetings.
  • Prepare meeting materials: Assist in preparing agendas, minutes, notes for records, and presentations for these meetings.
  • Secretariat support: Offer secretariat support to the NTFP office in holding all kind of meetings related to his job, including documentation of Notes for Records (NFRs) of meetings and circulating them.

3. Field visits:

  • Conduct field visits: Undertake field visits as required, including monitoring vaccination activities and health camps, and provide detailed feedback.

4. Event Planning and Support:

  • Plan and support events: Schedule and assist with the planning of events such as meetings, conferences, convenings, and presentations.
  • Coordinate logistics: Handle arrangements for participants, logistics, and preparation and dissemination of materials.

5. Documentation and Reporting:

  • Compile and maintain records: Compile and maintain accurate records and data from special assignments, making the data presentable for NTFP.
  • Keep official files intact: Maintain records for government official files to ensure continuity and proper documentation.
  • Prepare reports: Update daily activities of NTFP PEI and compile monthly reports. Coordinate with relevant offices to gather information and prepare updates for NEOC presentations.

6. Data Collection and Analysis:

  • Collect data from various sources to support thorough reviews of program reporting and analysis, aiding in informed decision-making.

7. Program material and feedback:

  • Develop program materials: As a member of different working groups, develop concept notes, briefs, and documents for all assigned initiatives, such as health camps and Polio Plus activities.
  • Provide feedback: Offer feedback on integrated messages to the communication team for various platforms.

8. Advocacy Activities:

  • Play part in advocacy activities: work with the team to organize activities for polio vaccination awareness, such as World Polio Day events, and involvement of religious leaders, politicians, and influencers to enhance program effectiveness.

9. Visa Facilitation:

  • Facilitate visa processes: Assist in the visa facilitation for Gates Foundation-supported officials visiting Pakistan for Polio emergency program-related activities, ensuring all necessary documentation and processes are completed efficiently, and follow-up with the Ministry of Foreign Affairs (MOFA).

10. Additional Duties:

  • Perform additional duties: Carry out any additional duties as required by the NTFP.
