Essential Responsibilities:

  1. Without restricting the generality of the purpose above, the Admin Assistant shall perform such duties and responsibilities as may be assigned, including but not limited to the following:
  2. Oversee issues pertinent to repairing electrical, plumbing, carpentry, construction, and other building systems.
  3. Assist in overseeing security guards at all project locations and the head office.
  4. Visit all organizational properties, perform evaluations, identify problems related to building systems, and inform the supervisor for rectification.
  5. Facilitate acquiring quality services related to building systems.
  6. Evaluate problematic building systems or facilities and determine what installation or repair services need to be performed.
  7. Inform the supervisor of any maintenance and repair issues in all organizational buildings for timely revamping.
  8. Take appropriate action for maintenance work required immediately in official properties in coordination with the supervisor.
  9. Coordinate with hired vendors/firms/contractors to ensure repair and maintenance projects are conducted smoothly and on time.
  10. Ensure required repair and maintenance work is satisfactorily completed by vendors.
  11. Assist with hotel bookings and logistic arrangements for staff and guests.
  12. Prepare relevant incident reports for any accidents occurring in official buildings.
  13. Perform emergency repairs, plan and estimate maintenance and repair work, and maintain records of work requests until completion.
  14. Perform any other assignments as directed by the supervisor.

Qualification:

  1.  Graduate degree in administration, management sciences, or equivalent.
  2.  Awareness of UNICEF operational policies and procedures (desired).
  3.  Experience working on UNICEF projects is an added advantage.
  4.  Any other relevant qualification will be a plus.

Required Experience:

  1.  1 to 3 years of proven experience with national and international NGOs.
  2.  High-level computer skills (MS Office, Outlook, data management).
  3.  Excellent report-writing skills.
  4.  Excellent knowledge of beneficiaries and program participants' safeguarding.

Travel Requirement:

The job requires approximately 50% to 60% travel to carry out assigned responsibilities within the coverage area (District Sujawal).

Traveling to field areas is a significant responsibility; the candidate must be willing and able to travel.
