Job Summary: The Asset Management Officer will be leads in creating and maintaining a comprehensive Fixed Asset Register in compliance with applicable rules and standards. The role involves planning and executing fixed asset counts, reporting on progress, and implementing asset management best practices to ensure accurate tracking and reporting of school assets.
- Plan, execute, and report on the physical count of fixed assets at various school branches and head office locations.
- Implement basic accounting principles related to asset management, including the calculation and recording of depreciation.
- Utilize asset management software and tools, such as ERP or SAP, to efficiently manage the school’s asset database.
- Liaise with branch staff and management to schedule and conduct fixed asset stocktaking activities.
- Visit school branches to perform physical asset counts, verify records, and update the Fixed Asset Register with the listed assets.
- Input accurate data into the computer system to maintain soft records of all school assets, ensuring data is available for integration with asset management software.
- Analyze and summarize collected data into useful information, preparing detailed reports for senior management regarding asset status, variances, and recommendations.
- Manage and track inventory at the Head Office, ensuring that stock levels are maintained and recorded accurately.
- Maintain records of procurement for Head Office utilities, ensuring all acquisitions are from approved vendors and documented.
- Ensure all assets are tracked in accordance with relevant regulatory requirements and internal policies.
- Prepare and present summaries and detailed reports on fixed assets to senior management, outlining discrepancies, status updates, and suggestions for improvements.
- Perform any other duties as assigned by management or supervisors to support the asset management function.
Qualifications & Skills:
- Proven experience in asset management, inventory control, or a similar role
- Hands-on experience with asset management tools like ERP, SAP, or equivalent systems
- Strong knowledge of fixed asset accounting and depreciation methods
- Proficient in data entry, record-keeping, and report generation
- Excellent organizational and analytical skills with a strong attention to detail
- Ability to manage multiple locations and coordinate with various stakeholders
- Strong communication and interpersonal skills for working with cross-functional teams
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field (preferred)
