a. Greeting guests politely and assisting them.

b. Taking care of the main reception area and the front office.

c. Receiving, directing, and relaying telephone messages and fax messages

d. Maintaining a visitors’ log of all visitors and guests

e. Maintaining a database of all company equipment, machinery, furniture, and fixtures.

f. Receiving and dispatching mail; including opening and date stamping all general correspondence.

g. Maintain the general filing system and file all correspondence

h. Arranging conference calls

i. Maintaining an updated list of all employees’ extension and contact numbers at all times

j. Maintaining a record of all contacts for the management.

k. Assisting staff members, executives, guests and management wherever needed

l. Maintaining an adequate inventory of office supplies/stationery for the reception area.

m. Supervising peons, guards & sweepers properly.

n. Ensuring proper hygiene of the reception as well as the front office.

o. Communicating with all vendors including electrical, IT, and others.

p. Performing all other administrative duties as instructed by the management.
