We are seeking a highly organized and proactive Deputy Manager of Import & Procurement to manage the company’s import operations and local procurement activities. The ideal candidate will oversee the end-to-end import process, ensure timely and cost-effective procurement of goods, and maintain strong relationships with customs officials, suppliers, and regulatory bodies. This role requires effective coordination with vendors, shipping agents, and internal teams to support organizational goals.

Key Responsibilities:

Imports Management:

  • Manage the entire import process, from order placement to final delivery.
  • Liaise with shipping agents, freight forwarders, and regulatory bodies for seamless and timely delivery.
  • Build and maintain strong relationships with customs officials and other regulatory bodies.
  • Monitor and track shipments, promptly resolving any delays or issues.
  • Prepare and review import documentation, including invoices, bills of lading, and certificates of origin.
  • Ensure compliance with customs regulations, taxes, and import duties.
  • Communicate with government agencies and customs officials to facilitate goods clearance.
  • Review and approve purchase orders, freight quotations, and supplier agreements.
  • Negotiate with suppliers, freight forwarders, and logistics providers to optimize costs and improve service.
  • Maintain accurate records of imports, including product details, pricing, and quantities.
  • Collaborate with internal departments like procurement, warehouse, and finance for smooth coordination.
  • Provide detailed reports on import activities, including cost analysis and performance metrics.
  • Resolve disputes or issues related to damaged goods or discrepancies in documentation.
  • Assist in developing and improving import processes to increase efficiency and cost-effectiveness.

Local Procurement:

  • Manage local procurement processes to ensure timely and cost-effective acquisition of goods and materials.
  • Develop and maintain relationships with local suppliers and vendors.
  • Conduct market research to identify reliable local suppliers and negotiate contracts.
  • Review and approve purchase orders, quotations, and supplier agreements.
  • Coordinate with internal departments to understand material requirements and delivery timelines.
  • Ensure proper documentation and compliance with company procurement policies.

General Responsibilities:

  • Maintain accurate records of imports and local procurement activities, including product details, pricing, and quantities.
  • Provide reports on procurement and import activities, including cost analysis and performance metrics.
  • Resolve disputes or issues related to damaged goods, delivery delays, or discrepancies in documentation.
  • Assist in developing and improving procurement and import processes to enhance efficiency and cost-effectiveness.

Qualifications & Skills:

  • Education: Bachelor’s degree in Business Administration, Supply Chain Management, International Trade, or a related field. A Master’s degree or professional certification (e.g., CILT) is preferred.
  • Experience: 5 years of experience in import operations and local procurement, preferably in a managerial role.

Knowledge:

  • Strong understanding of customs procedures, import regulations, and local procurement practices.
  • Familiarity with compliance requirements and documentation for both imports and local sourcing.
