•Compile quotations/offers from approved sources of Raw/Packing materials, Laboratory chemicals, IT & Promotional items. To prepare comparative statements and purchase orders.

•Selection of vendors and negotiate for the best purchase package in terms of quality, price, deliveries and services.

•Conduct follows up for timely supplies to ensure uninterrupted flow of materials to different user departments.

•Evaluate supplier performance based on quality standards, delivery time & best prices and ensure all the criteria are met according to the organizational requirements and expectation.

•Maintain and update Computerized commercial system (database) relating to Raw/ Packing materials in coordination with reporting officers. Generate MIS reports as and when desired.

•Arrange transportation of goods from different transporters, warehouses to plant/ head office and keep adequate records of delivered/ undelivered consignments.

•Conduct ABC analysis of Raw, Packing Material, IT & Promotional materials; calculate volume of businesses with different suppliers.

•Maintain good record of department files/ documents. Keep records of samples of Laboratory chemicals, IT &Promotional items forwarded to PD/ QC. Follow up with concerned departments for reporters for further action.

•Follow up with supplies for timely availability of bills/ invoices and delivery challans to be forwarded to concerned quarters. Follow up for preparation of goods receipt notes (GRNs) if required.

• Control & Supervision Purchase functions of the organization.

• Managing Planning function of following materials for efficient Supply Chain:

• Beverage Division:
• Procurement of Preforms, Caps & Closures, Labels, Chemical for Purified water, Juices and all types of related Packing & General material.

• Dairy & Ice Cream Division:
• Arrangement of raw & packing material and dairy items such as butter, dry milk powder, fresh cream, fats, desi ghee, flavors & colors for dairy & ice cream unit.

• Confectionery (Jams, Concentrates, Candies, Sweet, Bakery):
• Procurement of raw & packaging material, chemicals, colors & flavors, general item and pulps.

• Ensure error free execution of Purchase department documentation.

• Liaison with requisition (requesting department) for their exact requirements.

• Process purchase orders and documents in accordance with company policies and procedures.

• Arrange quotations from vendors as and when required by the line manager.

• Prepare comparative analysis of quotations and report to line manager.

• Prepare any other reports and comparisons as and when required by the line manager.

• Source, select and negotiate for the best purchase package in terms of quality, price, terms, deliveries and services with suppliers for cash purchases.

• Follow up with suppliers to ensure on time delivery of supplies.

• Maintaining and updating an approved list of vendors.

• Coordinate with user departments and suppliers to settle any issues regarding specifications and quality.

• Administering claims of factories with vendors for defective, shortage, missing parts, materials and supplies.

• Maintain complete up to date photo copy purchasing records/data of prices, quotations, bills and invoices.

• Visit vendor premises to ensure quality of product.

• Any other task assigned by the management related to Purchase Planning and Material Control.
