You will be responsible for the overall tasks and duties carried out by the Allocation team.

You will need a proactive approach towards decision-making and make sure each order is dispatched with-in given time structure. You will need to establish a strong rapport with UK Production team and Customer care team.

Duties & Responsibilities

  • Allocation of production jobs to machines for all production processes (design, sheets, rolls, print and packaging)
  • Assigning MOs to the agreed task on the production planner and ensuring all hours are accounted for.
  • Adding HP print jobs to the print server
  • Monitoring screens at all times to ensure job progress and re-evaluating the production situation to understand if a change is required to the production plan.
  • Ensuring jobs are allocated in the most efficient way possible and the allocation guidance document is followed at all times.
  • Ensuring orders are dispatched by target dispatch dates and identifying and implementing ways to improve turnaround times.
  • Leading daily meetings with the UK Production team and prepare meeting notes
  • Forward planning and regularly communicating with the UK Team
  • Monitoring productivity to ensure optimum efficiency is maintained and communicating with the relevant department
  • Oversee and take full responsibility for production planning and cover as and when required
  • To be responsible for any customer communication arising from the production and design team
  • Regularly review the artwork tab and carry out follow-up calls for artwork to follow orders, chase delayed orders, ensure artwork is uploaded in a timely manner, etc.
  • To complete designer checklists on customer original files.
  • Monitor/Track Express orders and ensure customer expectations are met at all times
  • To coordinate between various departments, e.g., Customer Care, and Production, to ensure there is no delay in the processing of orders.
  • Any other task assigned by management

Person Specifications – Abilities & Skills:      

Knowledge

  • Knowledge of production screen/ Orders priority / Express Jobs – can be provided in training
  • Knowledge of the self-adhesive label industry would be desirable but not essential to the role as full training will be provided.

Skills

  • Good telephone manner & presence.
  • Good command of the English language, in written and verbal terms and good comprehension is essential
  • Good ability to communicate clearly and concisely (written and verbal) is essential
  • Good time management skills with the ability to work under pressure.
  • Demonstrable problem-solving skills and ability to find answers/solutions.
  • Able to learn, retain and apply knowledge acquired through training.

Active Listening skills.

  • Complete quality work at all times regardless of the volume of work.
  • Maintain a high level of attention to detail at all times.
  • IT literate and able to use and/or learn standard and proprietary software
  • Proficient in use of PowerPoint, Word, Outlook, Excel.
  • Ability to prepare reports required by management in Excel format / Google online spreadsheet

Hours of Work: Core hours of 40hrs between 12.00 pm to 9:00 pm, Monday to Friday (subject to UK daylight saving variations).

Shift times may vary. You are expected to complete any reasonable extra hours required to fulfil the responsibilities of your role.

Salary:  TBC-  depending on skills and experience
