Ensure smooth running of all administrative functions in the office
Supervise travel and hotel arrangements for staff and visitors, including visas and work permits.
Monitor office supplies inventory and manage purchases within budgetary constraints.
Coordinate with security staff to ensure safety within the office facility.
Plan, coordinate, and organize events, meetings, and workshops.
Support in preparation of purchase request and review estimated cost.
Manage inventories and maintain accurate purchase and pricing records
Work with program team to develop monthly, quarterly and annual procurement plan

Assist in all pre and post procurement paper work including PRs, Request for Quotations, Comparative, Purchase Orders, Pre and Post Inspection of material and good delivery Note
Administration tasks and regular checks with the vehicle repair and maintenance.
Hotel arrangements and ticket bookings for travel.
Overseeing and supervising employees and all activities of the purchasing department
To undertake other duties as requested by the Line Manager.
Must work closely with all head office staff to coordinate strongly giving the organization an accurate and timely completion of all targets.
To ensure all CCTV cameras and Time Attendance machines are functional as well as the generator is ready to use and these all should be monitored on a daily basis and reported to head office on a weekly basis.
To make all requisitions on time relating to fuel, office rent, utility bills, stationery, Grocery, IT equipment, and Purchasing of filed related activities.
To ensure Vehicles are ready to move in field areas.
Issue and manage the fuel cards to the drivers on time.
Keep all fuel slips in your own record.
Ensure proper documentation and record of procurement
To closely monitor billing and financial systems as well.
Ensure all data is in safe and make the backup of all data of the organization.
Undertake any other activity that contributes to the smooth running of the program.
As a management intern, I have experience working with different projects under the CCA (Climate Change Advocacy) unit of the Pakistan Red Crescent Society. During my whole time, my work was based on the management work of the project. Documentation and presentations, arranging meetings and making their meeting minutes, record keeping, report writing, research work, and analysis of data. Indoor-outdoor dealing with communities, awareness sessions, and development of tools for CACRA.I also organized the Global Climate Change week 2016 by identifying and executing all its activities.
